This Privacy Policy relates to all the information collected by Collingwood either through the Collingwood website or through other communication means as part of providing Executive Search and Leadership Consultancy services. Collingwood are committed to your privacy and maintaining the security of any personal information received from you or other sources.

Collingwood Executive Search is a professional recruitment service, Collingwood partner organisations who need to fill senior level/business critical and/or ‘hard to fill’ roles. Usually, retained prior to any recruitment activity taking place, our search consultants, through their industry sector expertise, are able to offer guidance on identifying, attracting and appointing the best candidates to meet their clients’ needs. The consultant will then project manage the recruitment process from start to finish on behalf of own client.

Where does Collingwood collect data from and what data does Collingwood collect?

Collingwood collects personal data from individuals and other sources as shown below, in order to provide services as an Executive Search and Leadership Consultancy company. Through the delivery of our services we may provide data that we collect to our clients.

Executive Search

In order to deliver our executive search assignments, we collect data as a result of:-

  • you responding to an advertisement posted by us on a job board, online CV library or via social media
  • Collingwood matching your CV, as uploaded by you onto a job board, online CV library or a social media site, to a vacancy we are seeking to fill for one of our clients
  • a referral or recommendation
  • your business card
  • researching information from company websites
  • Collingwood also use a third party provider, Invenias, in order to manage any personal data we collect as part of fulfilling our executive search assignments. For more information, please refer to Invenias User Privacy Policy.

Collingwood aim to collect the minimum data it needs to perform its role. Typically this is:-

  • your name
  • contact details (phone number, email address, postal address
  • job title and company name

If you are being considered for a role it may then include your skills and experience, company history and information that you have supplied on your CV/resume.

Other information we may collect:-

  • gender, marital status, qualifications, driver license number, skills, social media links, language and interests. It may also include other information such as remuneration package, details of referees, right to work in the UK.

Leadership Consultancy

Whilst undertaking Leadership Consultancy projects it may be necessary to collect data from participants in order to deliver these projects. This information includes psychometric assessment data, development information, and CV information. Collingwood may use psychometric assessments to help guide the client through the assignment process. The assessments are not solely used to select candidates.

Clients & Enquirers

You may give us information about you when filling in forms on our site ( or by corresponding with us by phone, email. This includes information you provide:-

  • when you register to receive our regular newsletters,
  • downloading information resource documents from our site,
  • submitting an enquiry via an online enquiry form or
  • engage in Collingwood's services as a client.

Visitors to our website

When someone visits we use third party services, Google Analytics and Hubspot, to collect standard internet log information and details of visitor behaviour patterns. We do this for analysis purposes, such as the number of visitors to the various parts of the site. People who make a complaint to us

When we receive a complaint from a person we make up a file containing the details of the complaint. This normally contains the identity of the complainant and any other individuals involved in the complaint.

We will only use the personal information we collect to process the complaint and to check on the level of service we provide. We usually have to disclose the complainant’s identity to whoever the complaint is about. This is inevitable where, for example, the accuracy of a person’s record is in dispute.

If a complainant doesn’t want information identifying him or her to be disclosed, we will try to respect that. However, it may not be possible to handle a complaint on an anonymous basis. We will keep personal information contained in complaint files in line with our retention policy.

This means that information relating to a complaint will be retained for two years from closure. It will be retained in a secure environment and access to it will be restricted according to the ‘need to know’ principle. Similarly, where enquiries are submitted to us we will only use the information supplied to us to deal with the enquiry and any subsequent issues and to check on the level of service we provide.

Collingwood job applicants, current & former Collingwood employees

When individuals apply to work at Collingwood, we will only use the information they supply to us to process their application and to monitor recruitment statistics. Where we want to disclose information to a third party, for example where we want to take up a reference or obtain a ‘disclosure’ from the Criminal Records Bureau we will not do so without informing them beforehand unless the disclosure is required by law.

Once a person has taken up employment with Collingwood, we will compile a file relating to their employment. The information contained in this will be kept secure and will only be used for purposes directly relevant to that person’s employment. Once their employment with Collingwood has ended, we will retain the file in accordance with the requirements of our retention schedule and then delete it.

What we do with your personal information

All relevant information collected or provided to us, is entered into our database. Only Collingwood employees or Associates have access to all or part of this data, which is used for the purposes of providing Executive Search and Leadership Consultancy and related services.

An individual’s personal data will only be disclosed to specific and named client companies with an individual’s prior agreement. An individual’s data will not be disclosed to any other third party unless Collingwood is required to do so by law.

All the personal data we process is processed by our staff in the UK. We follow strict security procedures in the storage and disclosure of information which you have given us, to prevent unauthorised access in accordance with the UK data protection legislation. Where we sometimes work with our team of Associates to deliver assignments and projects, this may mean that we provide your data to them as part of this. All transfers and use of personal of data in this way is in strict accordance with the UK data protection legislation.

We do not sell, rent or exchange your personal information with any third party, except to help prevent fraud, or if required to do so by law.

We reserve the right to record briefing calls in order to ensure all information is gathered for the purposes of delivering the assignment. We retain recordings for 12 months from the completion/cancellation of the assignment.

What is our lawful basis for processing your data?

As a recruitment business, Collingwood consider that it is necessary to use legitimate interest as our lawful basis to process your personal data.  At different stages of the processes we also have other lawful grounds for processing your data such as compliance with our legal obligations and where it is necessary for the performance of contracts related to the recruitment process.

Please note that we will always obtain verbal or written consent before presenting your personal details to a client.

Where we store your Personal Data

The data that we collect from you will generally be kept within the European Economic Area (EEA). However, it may from time to time also be transferred to a client destination outside the EEA as part of the delivery of an Executive Search or Leadership Consultancy project, due to the global nature of our client base. By submitting your personal data you agree to this transfer, storing or processing. Collingwood will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

International Transfers

Collingwood will only transfer data outside of the European economic area where the recipient is compliant with the data protection legislation and the means of transfer provides safeguards.  These will include contractual clauses, the EU – US privacy shield framework, or where the country concerned has been found adequate by the European commission in respect to the levels of data protection.

Please be aware that countries which exist outside the European Economic Area may not offer the same level of legal protection for your personal information as under UK law, although any collection, storage and use of your personal data by us (or on behalf of us) will continue to be governed by this privacy policy.

Your rights as an Individual

In accordance with applicable national data privacy legislation, an individual may have the right to contact Collingwood to establish whether or not we hold personal data on him or her.

Any individual with a record in our database has the right to request a copy of any of his or her personal information. We may need to ask the individual to provide appropriate confirmation of identity before processing a request.

Any individual with a record in our database has the right to request that we rectify any inaccuracies in his or her personal data or that his or her record be removed from our database or other systems.

In addition, they have the right to opt out of receiving any further communication and information from us. If, for good reason, we are unable to comply with such a request we will let the individual know.
